HOW TO FIND THE RIGHT PROPERTY MANAGER FOR YOUR SHORT-TERM RENTAL

Choosing the right property manager for your short-term rental (STR) is one of the most important decisions youโ€™ll make as an owner. A great property manager can maximize your revenue, ensure five-star guest experiences, and protect your investment. A bad one? They can cost you bookings, damage your reputation, and leave you frustrated with poor communication and lackluster service.

I know this firsthand. When I first got into STRs, I made the mistake of not researching my property management company. I was referred to them and assumed they were great. Spoiler alertโ€”they werenโ€™t. Hereโ€™s what you should look for when shopping for a property manager:

1. Start With Referralsโ€”But Do Your Research

If you have a trusted friend or fellow STR owner who recommends a property manager, thatโ€™s a great place to start. However, donโ€™t just take their word for itโ€”dig deeper. Look at their listings on Airbnb and VRBO. Read guest reviews. See how responsive they are to issues. A referral is a good lead, but due diligence is key.

2. Avoid Big-Box Management Companies

Large national companies may seem convenient, but they often lack the personal touch needed to optimise your STRโ€™s success. I recently stayed at a property managed by a large company, and while the home was nice, the amenities were bare-bones. This lack of attention to detail can lead to poor guest experiences and lower ratings.

A smaller, boutique management company is more likely to give your property the attention it deserves. They tend to be more invested in their homeownersโ€™ success because they donโ€™t rely on volumeโ€”they rely on quality.

3. Check Their Airbnb Ranking

One of the easiest ways to gauge a property managerโ€™s effectiveness is to look at their Airbnb ranking. If their properties are rated below 4.9 stars, proceed with caution. Anything lower means theyโ€™re on page 7, 10, or worse, which drastically reduces your visibility. If you canโ€™t find their listings at all, thatโ€™s a red flag.

At a minimum, your property should be listed on Airbnb, or VRBO, and a direct booking site. If a management company isnโ€™t prioritizing these, theyโ€™re not doing enough to market your home.

4. Ask About Guest Communication & Handling Issues

I recently spoke with an owner whose management company failed to inform guests about a major deck renovation. The result? A 3-star review, which dropped the propertyโ€™s rating to 4.5 stars. This significantly hurt its ranking and ability to attract future bookings.

Ask potential managers how they communicate with guests about potential issues. Transparency is criticalโ€”guests appreciate being informed rather than surprised.

5. Pricing Strategy Mattersโ€”A Lot

Proper pricing is key to maximizing revenue. Some management companies use outdated pricing models or fail to adjust for demand, leaving money on the table.

Here are a few questions to start:

โ€ข What pricing software do you use? (They should have a dynamic pricing tool like PriceLabs, Wheelhouse, or Beyond.)

โ€ข How often do you analyze pricing data? (At least twice a week is ideal.)

โ€ข Do you set minimum stays for holidays and peak seasons? (For example, a three-night minimum for holidays is standard.)

6. Cleaning Standards & Fees

Cleaning can make or break your STRโ€™s reputation. Low cleanliness scores on Airbnb or VRBO will push your listing down in search rankings.

When vetting a property manager, ask:

โ€ขย Who do you hire, is it a company or individual? How do you avoid cleaning issues?

โ€ข How do you handle guest complaints about cleanliness?

Also, compare cleaning fees with other like properties. A previous management company I worked with charged an inflated fee and pocketed at least $50 per clean, on a 2BR – 2BA. High fees make your listing less competitive, which means fewer bookings.

7. Strong Owner-Manager Alignment Is Crucial

Your STR is an investment, and your property manager should treat it as such. There needs to be strong communication between you, the manager, and the cleaning team.

A large, impersonal company is unlikely to:

โ€ข Proactively monitor your homeโ€™s performance

โ€ข Adjust pricing to maximize revenue

โ€ข Communicate promptly with you or your guests

โ€ข Ensure your home is cleaned and stocked to high standards

A great STR manager is invested in your propertyโ€™s success, just like you are. If you find one that prioritizes guest experience, pricing strategy, cleaning quality, and open communication, youโ€™ll be on the path to a thriving rental.

Final Thoughts

Choosing a property manager isnโ€™t a decision to take lightly. Your STRโ€™s profitability and reputation depend on it. Do your homework, ask tough questions, and donโ€™t settle for anything less than a top-tier, hands-on manager who treats your home like their own.

If youโ€™re looking for a property management company that understands short-term rentals, prioritises guest experience, and ensures maximum revenue, letโ€™s chat! At LJ Vacation Rentals, we specialise in personalised, full-service management to help your STR thrive.

From Dream to Reality: My First Year as a Short-Term Rental Host at Lake of the Ozarks

In June 2022, I took a vacation to Lake of the Ozarks with my significant other and his family and was blown away by the sheer number of condos lining the water. Even more surprising? How affordable they were compared to the Austin, Texas market where I am from, where condos near the lake push the million-dollar range. The idea of owning a lakefront property took root in my mind, but with rising interest rates and a shifting market, I put the dream on hold.

Fast forward a year laterโ€”rates were still climbing, but I ran the numbers and realized I could make it work. In October 2023, I took the leap and purchased my first 2-bedroom, 2-bathroom condo at the Lake. My goal? To short-term rent it and ideally cover half of my mortgage. Deep down, my dream had always been to live on the lake, and this felt like the first step toward making that happen.

A Rocky Start

Eager to get my rental up and running, I hired a recommended short-term rental manager. Letโ€™s just sayโ€ฆ it didnโ€™t go as planned. The lack of communication was frustrating, and I felt like my property was never going to be managed with the level of care I expected. On my 2.5-hour commute, I started devouring podcasts about short-term rental hosting, learning everything I could about the business. After a month of self-education and growing frustration with my property manager, I asked for my money back and took matters into my own hands.

By the end of January 2024, we had our first bookingโ€”and I was a nervous wreck. Would guests like the space? Had I missed anything? There were definitely some learning curves, but I quickly became obsessed with hosting. Thereโ€™s something incredibly rewarding about providing a beautiful space and seeing a guest leave a glowing review. When guests have a great stay, they want to share itโ€”and thatโ€™s been a huge motivator for me.

Growing the Business

Things were going so well that in April 2024, I purchased my second property. Our first guest, unfortunately, was not ideal and ended up costing us several hundred dollars. I briefly questioned if Iโ€™d made a huge mistake, but since then, the majority of our guests have been fantastic.

I started focusing on elevating the guest experience, setting our properties apart from the competition. I added small but thoughtful touches, like a custom-branded cooler bag and koozie, as well as a well-stocked supply of toiletries, coffee, cooking essentials, and high-quality linens. Many hosts worry that if you provide too much, guests will take advantageโ€”but Iโ€™ve found the opposite to be true. When guests feel cared for, they respect the space and appreciate the effort.

Our first summer was extremely busy, and I anticipate an even bigger season this year, with many past guests returning. Weโ€™ve already done major bathroom updates in one condo to enhance the experience even more.

Expanding into Property Management

In November 2024, we took on our first client, managing their short-term rental property. The owner allowed me to redesign the unit, and I loved every second of the process. We built a brand-new TV/fireplace entertainment center, refreshed all the bedroom furnishings, and designed a custom accent wall behind the bed. While some may not agree, I firmly believe a short-term rental should look and feel like a model homeโ€”inviting, stylish, and memorable.

My significant other, Bruce takes care of all the technology side of the business. He does a fantastic job and I am so thankful for his expertise, and his passion for everything technical. He also is a great carpenter, he has built all of the entertainment centers that are in three of the condos, and carries out our design ideas to make the space more beautiful, inviting and warm.

One Year Later: The Numbers Speak for Themselves

Looking back, I canโ€™t believe how much has happened in just one year. With 207 reservations under our belt, we have earned 106 reviews on Airbnb with a 4.96 rating and a perfect 10 on VRBO. Iโ€™m still as obsessed as ever, having spent over 1,000 hours listening to podcasts.

Along the way, I also:

  • Earned my Missouri real estate license
  • Built my own website
  • Learned how to blog and run Facebook ads
  • Developed a team of cleaners, handymen, and various specific trade vendors
  • Created a streamlined system for managing bookings, communication, and pricing
  • Partnered with a marketing company to engage past guests

Looking Ahead to 2025

This journey has been incredible, and Iโ€™m just getting started. My goal for 2025 is to take on seven more boutique properties with owners who share my vision for top-tier guest experiences. Iโ€™m passionate about helping other property owners see the potential in their investments and turn them into successful, revenue-generating short-term rentals.

If youโ€™re thinking about investing in Lake of the Ozarks or need help managing your rental, Iโ€™d love to connect. Hereโ€™s to another year of growth, learning, and five-star guest experiences!

Choosing the Right Property for your Vacation

How to Choose the Perfect Short-Term Rental for Your Next Trip

Finding the perfect short-term rentalโ€”whether on Airbnb, Vrbo, Google Vacations, or another platformโ€”can make or break your trip. With thousands of listings available, itโ€™s easy to feel overwhelmed by the options. In this guide, weโ€™ll walk you through everything you need to know to pick the best short-term rental for your needsโ€”whether you’re looking for a cozy getaway, a budget-friendly stay, or a luxurious experience. Weโ€™ll cover key factors like location, amenities, reviews, and host reliability. By the end of this post, you’ll be equipped with the knowledge to book your next short-term rental with confidence and ease.

1. Set Your Budget Wisely

While short-term rentals often provide more value than hotels, prices can vary widely based on location, size, and amenities. Set a realistic budget and be sure to factor in additional costs such as cleaning fees, service fees, and security deposits.

2. Pick the Right Location

Consider the purpose of your tripโ€”do you want to be in the heart of a city, close to attractions, or in a quiet neighborhood? Check the map carefully to ensure the rental is near public transportation, restaurants, or whatever is most important to you.

3. Check Reviews and Ratings

Guest reviews are one of the best ways to gauge the quality of a rental. Look for consistent positive feedback about cleanliness, accuracy of the listing, and responsiveness of the host. Prioritize recent reviews to ensure that the rental is still being well-maintained and that there havenโ€™t been any recent issues.

If the property isnโ€™t brand new, consider booking with Superhosts (on Airbnb) or highly-rated hosts with a history of excellent service. Superhosts are known for providing exceptional hospitality, quick responses, and clean, well-kept spaces.

Try to avoid large property management companies that handle multiple listings like a hotel. These โ€œbig boxโ€ hosts often lack the personal touch, flexibility, and attention to detail that independent hosts provide. A private host is more likely to offer a personalized experience, local recommendations, and a smoother communication process. Guest reviews are one of the best ways to gauge the quality of a rental. Look for consistent positive feedback about cleanliness, accuracy of the listing, and responsiveness of the host. Be cautious of rentals with no reviews or a mix of highly positive and very negative comments.

4. Look for Essential Amenities

Different travelers have different needs, so make sure the rental has whatโ€™s important to you. Key amenities to consider include:

  • Wi-Fi โ€“ Essential for remote work or streaming.
  • Full Kitchen โ€“ A must-have if you plan on cooking.
  • Washer & Dryer โ€“ Ideal for longer stays.
  • Free Parking โ€“ Crucial in cities where street parking is limited.
  • Amenities – Thoughtful provided amenities; shampoo, conditioner, body wash, various toiletries, laundry detergent, coffee, basic seasonings.

5. Consider the Size and Layout

If youโ€™re traveling with family or friends, ensure the rental has enough bedrooms and bathrooms for everyoneโ€™s comfort. If you need separate workspaces or a play area for kids, check the listing photos carefully.

6. Review the House Rules

Each rental has different policies on things like check-in/check-out times, pets, noise levels, and cleaning expectations. Make sure these rules align with your needs to avoid any surprises.

7. Beware of Hidden Fees

Some listings may have extra charges for cleaning, additional guests, or resort fees. Be sure to check the total price before booking to ensure it fits within your budget.

8. Communicate with the Host

A responsive and helpful host can make your stay much smoother. Donโ€™t hesitate to ask questions before booking, such as details about the check-in process, parking, or recommendations for the area.

9. Compare Listings on Different Platforms

The same rental may be listed on multiple platforms with different pricing and policies. Before booking, compare it across Airbnb, Vrbo, Google Vacations, or even direct booking through the hostโ€™s website to find the best deal.

If you discover that a host has their ownย direct booking website, consider booking directly with them instead of through a third-party platform. This can help youย save on service feesย that platforms like Airbnb and Vrbo charge. Just be sure to verify the hostโ€™s legitimacy, read reviews, and ensure they have secure payment options before booking outside a major platform. Many experienced hosts offer direct booking discounts while still providing the same great experience. The best short-term rentals, especially those in popular destinations, get booked quickly. If you have specific dates or requirements, book well in advance to secure the ideal stay.

Note: Hosts cannot answer directly answer if they have a direct booking site, as doing so could jeopardise their listing. Instead, look for clues within the listing, such as “Hosted by [Name}.”

10. Book Early for the Best Selection

The best short-term rentals, especially those in popular destinations, get booked quickly. If you have specific dates or requirements, book well in advance to secure the ideal stay.

Final Thoughts

A little research goes a long way in finding the perfect short-term rental. By considering location, amenities, reviews, and pricing, you can ensure a comfortable and enjoyable stayโ€”often with more space and value than a traditional hotel.

Short Term Rentals vs Hotels

Why a Short-Term Rental is a Better Choice Than a Hotel

When planning a trip, many travelers automatically consider hotelsโ€”but short-term rentals, available on platforms like Airbnb, Vrbo, and Google Vacations, often provide far more value for the same price. Hereโ€™s why choosing a short-term rental over a hotel can enhance your travel experience:

1. More Space for the Same Price

Hotels often charge premium rates for small rooms, while short-term rentals provide entire apartments, condos, or homes for a similar cost. Whether you’re traveling solo, as a couple, or with a group, having a living room, multiple bedrooms, and outdoor space can make your stay much more comfortable.

2. Full Kitchens Save You Money

One of the biggest advantages of a short-term rental is access to a full kitchen. Eating out for every meal adds up quickly, but with a rental, you can cook your own meals, store snacks, and even try local ingredients from nearby markets.

3. Unique and Personalized Stays

Hotels can feel generic, but short-term rentals offer a variety of unique accommodationsโ€”from rustic cabins and beachfront villas to stylish city apartments. Many rentals also reflect the local culture and charm, making your stay more memorable.

4. Better Amenities for Longer Stays

Short-term rentals often include in-unit laundry, private patios, dedicated workspaces, fireplaces, and entertainment options like streaming services, board games, outdoor games such as putting greens, cornhole, ringtoss and even outdoor fire pits or heated patios. These extras make longer stays more convenient and enjoyable.

5. Ideal for Families and Groups

Booking multiple hotel rooms for a group can get expensive fast. Short-term rentals allow everyone to stay together in a shared space, creating a more social and comfortable experience without breaking the bank.

6. More Privacy and Flexibility

Unlike hotels with noisy hallways and scheduled housekeeping, short-term rentals give you the privacy to relax on your own terms. You wonโ€™t have to worry about thin walls, crowded lobbies, or early-morning wake-ups from housekeeping.

7. Pet-Friendly Options

Many short-term rentals welcome pets, while hotels often have strict pet policies or expensive fees. If you’re traveling with a furry friend, a rental can be a much more accommodating option.

8. A Local Experience

Staying in a rental often means being in a residential neighborhood rather than a tourist-heavy hotel district. This gives you a more authentic experience, with access to local restaurants, coffee shops, and parks that you might not find in a hotelโ€™s immediate surroundings.

Final Thoughts

For the same price as a standard hotel room, a short-term rental offers more space, better amenities, and a more personalized experience. Whether youโ€™re traveling for work, a romantic getaway, or a family vacation, choosing a rental over a hotel can give you a more enjoyable and cost-effective stay, a home away from home.

Achieving 5-Star Rating Guide for Hosts

In the world of short-term vacation rentals, a 5-star rating is more than just a badge of honor – it’s a ticket to attracting more bookings, standing out among the competition, and maximizing revenue. Guests rely heavily on reviews, and earning those coveted star requires thoughtful planning, excellent execution, and attention to detail.

  • Clear and Honest Communication – Be prompt, professional and provide friendly communication.
    • Be responsive – Answer inquiries quickly and thoroughly.
    • Provide detailed instructions – Include check in & out times, directions, and access codes.
    • Provide rules, but don’t be aggressive – Clearly outline house rules (e.g., quiet hours, parking, smoking, or pet policies) in a friendly, non-confrontational tone. Focus on setting expectations rather than sounding punitive.
  • Pristine Cleanliness – Cleanliness is super important. Even the most beautiful decorated property won’t receive high marks if it isn’t spotless. Hiring a reliable and detailed oriented cleaning team ensures your property consistently meets (or exceeds) guest expectations.
    • Deep clean regularly – This includes window cleaning, baseboards and fans. Make time to visit your property and double-check that the cleaners are maintaining high standards. This is also a great opportunity to inspect for maintenance issues. Staying at the property occasionally can help uncover items not easily noticed during a quick walkthrough.
    • Find the right cleaner or company – Partner with a cleaner/cleaning service willing to go above and beyond standard expectations. While occasional oversights may happen, they should be rare, and your cleaning team must act quickly and professionally to address issues.
  • Accurate and engaging listings – Your listing is your property’s resume. A clear and enticing description can make your home stand out and help the guest picture themselves vacationing in your short-term rental.
    • Know your avatar – Understand your target audience and design your home to appeal to them. Whether it’s families, couples, or solo traveler’s, tailor the decor and amenities to their preferences. A well-crafted listing not only captures attention but also sets the stage for a memorable and enjoyable stay.
    • Make your home warm and inviting – Aim for the feel of a model home – beautifully styled, cohesive, and welcoming. Think about the last time you walked through a model home and how it made you wish you could buy it exactly as it was. That’s the feeling you want to create for your guests. Do not use old items ready for goodwill!
    • Hire a professional photographer – Professional images with natural lighting make a huge difference. Highlighting a 5″ faux plant with the background blurred is not a picture your guest remember or care about.
    • Highlight 5-star reviews – Intermingle glowing guest testimonials with your listing photos, makes your listing more compelling and builds trust with potential guests.
  • Thoughtful Amenities – Amenities and thoughtful extra touches often leaves a lasting impression, and guests are wowed by making their stay more enjoyable.
    • Essentials – Comfortable beds with quality linens and pillows, fast and reliable Wi-Fi. quality smart televisions, fully stocked kitchens with basic spices, soaps, hair products, laundry soaps, quality towels, plenty of toilet paper and paper towels.
    • Extra Touches – Coffee, sugar, creamers, board games, toiletries (toothpaste, make-up wipes, lotion, tampons, toothbrush, sunscreen, q-tips, etc).
  • Conclusion – Achieving and maintaining a 5-star rating requires dedication and commitment to excellence. Focusing on communication, cleanliness, design, accuracy, amenities and attention to detail, you can create a memorable experience that keeps guests coming back and telling others about your property. It truly is very rewarding when a guest appreciates and enjoys your property. If you ever need tips, reach out I would be happy to help. Happy Hosting and always reach for 5-Star Service!
